It will enable us to solidify our market leadership in Slovenia, scale our operations in Romania and Hungary, continue to roll out innovative services, and attract top talent to our growing team to become the digital consumer lending champion in the Central & Eastern European region.
We are currently looking for motivated and enthusiastic Office & HR Associate to join our team in Slovenia. The main tasks of Office & HR Associate include managing the office, overseeing the procurement process, handling employee-related administrative tasks, taking notes in board meetings, and providing assistance with HR and operational duties as needed - such as organizing team events, fostering a positive team atmosphere and assisting in administrative HR tasks.
What will the Office & HR Associate be doing?
- Being a contact person for employees to ensure productive working;
- Keeping office administration organized and follow up with company invoices and procurement, in cooperation with the Finance team;
- Ordering equipment and maintaining equipment charge and records for employees in collaboration with Managers, System Administrator and HR;
- Participates in planning, executing and coordinating company events and team buildings;
- Maintaining communication and being a contract person for external service providers, such as: catering, suppliers, repair shops, etc.
- Organizing business travels for colleagues: booking airline tickets, accommodation, lunches and other business related things;
- Keeping time off records of employees and generating related reports using HR software;
- Communication and collaboration with the Finance team in the matter of paperwork and financial matters (reporting, preparing documentation for bookkeeping, preparing invoices and keeping track of their timely payment, etc.);
- Organizing, convening, and servicing annual Leanpay Ltd general meetings (AGMs) and bi-monthly board of director meetings (this responsibility will involve the issue of proper notices of meetings, preparation of agenda, circulation of relevant papers, taking notes and taking and producing minutes to record the business transacted at the meetings and the decisions taken and so on)
- Collaboration with other colleagues and teams to proactively propose, establish and implement office rules and procedures;
- Organize, compile, update company personnel records and documentation;
- Leading recruitment and selection processes for operational roles, including job postings, screening resumes, conducting interviews and updating candidate database;
- Track recruitment metrics and provide regular reports on hiring progress, candidate pipelines, and other key performance indicators;
- Onboarding new employees (contract and equipment preparation, accounts, announcement, documentation keeping etc.);
- Participation in the improvement and development of culture in the workplace, caring for the development of a good atmosphere and relationship between employees, subordinates and superiors;
- Conducting exit interviews with employees who terminate their employment in order to identify potential disputes in business and management;
- Act as a single point of contact for employees regarding all HR-related topics.
What will the successful candidate have?
- Minimum 3 years of proven experience in a similar role;
- Bachelor’s degree in social sciences or a related field;
- Excellent command of English, both written and spoken;
- Excellent communication skills, both written and spoken;
- Good computer skills (MS Office or similar tools);
- Experience in planning and organizing events;
- Outstanding organizational skills with the ability to multitask;
- High level of discretion and ability to handle confidential information;
- Ability to thrive in a fast-paced environment;
- Proactive, enthusiastic, and self-initiated personality;
